TERMS & CONDITIONS

1. Bookings

  • During peak season, Bookings require a minimum stay of one week, extendable in weekly increments. Peak season dates, which can include periods such as Easter, summer, Christmas, school holidays, national holidays, and other celebrations, will be provided upon enquiry.

  • The principal hirer must be over 21 years old at the time of Booking and is responsible for all members of the party, ensuring compliance with these terms and for the responsible use of the Property and its contents.

  • Pets are not permitted on the Property under any circumstances.

  • To make a booking, contact us by email (sophie@rossignolsgite.fr) or the enquiry form with your preferred dates and the number of guests. We will confirm availability as soon as possible.

  • The Property Owners reserve the right to refuse any Booking deemed unsuitable for the Property, with no liability arising from such refusal.

2. Confirming a Booking

  • A non-refundable deposit of 25% of the total holiday booking cost is required to secure a Booking.

  • If booking within four weeks of your holiday, payment must be made in full at the time of Booking.

  • Confirmation of your reservation will be provided in writing after we receive your booking deposit; your Booking is not confirmed until you receive this written confirmation.

  • We reserve the right to refuse any Booking until written confirmation is issued.

  • Please review your confirmation immediately and notify us at once of any errors.

3. Payments

  • All payments are to be made online, directly via bank details provided at the time of Booking.

  • All prices and transactions are in Euros.

4. Balance Payment

  • The full balance of your stay is due at least four weeks prior to commencement.

5. Security Bond

  • A Security Bond of €200.00 (or higher at our discretion for stays exceeding one week) is to be paid with the final balance.

  • The bond will be refunded within 14 days of your return, subject to deductions for damages, lost keys, cleaning, or other breaches outlined in these terms.

6. Cancellations

  • Notify us in writing immediately if you wish to cancel. Your cancellation only takes effect upon our written acknowledgment.

  • If you cancel after the full balance is due, such balance remains payable.

  • Cancellation Charges:

    • 4+ weeks before arrival – Booking deposit (25%)

    • Between 2–4 weeks – 50% of total cost, unless the Property is re-let (then only deposit retained)

    • Less than 2 weeks – 100% of total cost, unless the Property is re-let (then only deposit retained)

  • If we must cancel your Booking, we will endeavor to find suitable alternative accommodation, or refund all monies paid.

  • We strongly recommend purchasing cancellation insurance.

7. Arrival & Departure

  • Check-in: Property is available from 4:00pm on arrival day.

  • Check-out: Property must be vacated by 10:00am on departure day.

  • Early check-in or late check-out may be available upon request; charges may apply.

8. Keys

  • Keys will be provided in person upon arrival, or via a key safe if a personal meeting is not possible.

  • Lost keys: €50 per set.

  • Keys not returned as directed incur a €25 charge, deducted from the Security Bond.

9. Occupancy & Conduct

For the benefit of future guests and owners, you (and all party members) undertake the following:

  • Not to exceed the occupancy stated in your Booking Confirmation.

  • To show due consideration for other parties, refraining from abuse of the Property and/or any dangerous, offensive, or rude behavior toward owners, neighbours, or representatives.

  • To permit owner/representative access at reasonable times for reasonable purposes.

  • To maintain the Property and its contents as found; extra cleaning or consequential loss may be deducted from your Security Bond.

Breaching occupancy, conduct, or usage rules may result in refusal of access or termination of your stay. No refunds or compensation will apply.

10. Bed Linen & Towels

  • Bed sheets, duvet covers, pillowcases, bath/hand/kitchen towels, bath mats, and swimming towels are provided.

  • Pillows, linen, and towels for infants using a travel cot are not supplied for legal and hygiene reasons.

11. Damages & Restricted Areas

  • Please report all damage immediately, regardless of cause or size. Wilful, malicious, or negligent damage, or damage to specific features (e.g. pool, cover, parasols), may incur charges against the Security Bond.

  • The barn, pool equipment room and the owners living quarters are strictly out of bounds. Unauthorized entry or use may be considered property damage.

12. Cleaning & Rubbish

  • The Property must be left by guests in the same state of cleanliness as at arrival, including all outdoor areas and barbecue facilities.

  • Extra cleaning charged at €25 per hour is deducted from your Security Bond if required.

  • All rubbish, waste, and recycling must be removed at end of your stay; local facilities are available in Belvèze.

  • Improper rubbish disposal (e.g. leaving waste, or mixing recyclables) may result in additional charges.

13. Swimming Pool

  • The pool is provided for guest enjoyment and must be used safely and respectfully.

  • Safety: Children must be supervised at all times. The principal guest is responsible for all guests regarding pool safety.

  • Pool Rules:

    • No food, glass, or ceramic at the poolside

    • Only swimming towels at the pool (not household towels)

    • No running or rough play

    • Pool technical room/outdoor controls are off-limits

    • Bugs and wildlife may appear if the pool is uncovered; nets are provided for cleaning.

14. Smoking Policy

  • Smoking is prohibited inside the Property.

  • Smoking is allowed in the garden/outside areas only; all cigarette ends must be disposed of responsibly.

15. Electrical Appliances

  • Report any broken appliances immediately for repair or replacement; no compensation will be offered for temporary breakages.

16. Electric Vehicles

  • There is no EV charging facility onsite. Charging EVs is strictly forbidden; abuse will result in contract termination and/or additional fees.

  • Local EV charging is available at:

    • Montaigu de Quercy: Car park by the doctor’s/nurse’s office and Salle des Fêtes

    • Belvèze: Car park at Salle des Fêtes

17. Complaints & Issues

  • Report all issues to both us and our local agent during your stay so they can be resolved promptly.

  • We cannot accept liability for issues not raised during your holiday.

18. Liability

  • Neither we nor our local agents accept liability for death, personal injury, or loss/damage to personal property except where caused by our or our agent’s negligence.

  • Use of appliances, equipment, and swimming pool is at guests’ risk.

19. Force Majeure

  • We accept no liability where obligations cannot be met due to force majeure events outside our control (e.g. war, natural disaster, epidemics, severe weather, industrial disputes).

20. Local Conditions

  • The Property is in a rural location; guests may encounter local wildlife, which occasionally may enter the house, especially in certain conditions.

21. Insurance & Travel Documents

  • We strongly recommend that you purchase insurance to cover financial risks of travel and holidays.

  • Ensure all required travel documents and permitted items for France are in order and consult relevant information sources if unsure.

22. Data Protection

  • We are the data controller of your personal information, which is used for Booking and managing your stay.

  • Your data will be protected and not shared, except as required for your stay.

  • We comply with the Data Protection Act 1998, GDPR (EU Regulation 2016/679), and all subsequent data protection legislation.

23. Website

  • Our website and social media channels display photographs of the Property for visualisation purposes only. While we strive to keep these images updated following any changes, the photos, decor, and contents of the Property may change without prior notice.
